Vice President

Statement of Understanding of Position, Mission and Goals:

The Vice President is first and foremost a member of the International Service Board (ISB) of Urantia Association International. Each elected member of the ISB is responsible for supporting and communicating Urantia Association’s strategic direction – its mission, purpose and goals. Success in the role of ISB member relies on active participation in meetings, in decision making, researching options available, and putting forward ideas and solutions. A solid working knowledge of the UAI Charter, Bylaws and Policies is required to ensure the highest integrity of the decisions and actions of the ISB on behalf of Urantia Association International.

Qualifications and Skills:
  • Full member of Urantia Association
  • Student of The Urantia Book
  • Previous volunteer service and/or leadership service for the revelation
  • Good communication skills both written and verbal
  • Good organizational skills

  • Prior experience on the Representative Council of Urantia Association International would be helpful

Term of Service

The term of service is four years. Each ISB member may serve two terms. Each ISB member must be elected by the Representative Council (RC).

Training

Between January 1 and March 31, 2019, newly elected ISB members will be participating in a three-month training period in preparation for taking office on April 1, 2019. You will be asked to attend the three monthly ISB meetings via Zoom (held the second Thursday of each month at 4:00 pm Eastern USA), complete three training modules independently, attend one 90 minute Zoom training sessions, participate in the three monthly Board Support Team meetings (held the first Thursday of each month at 3:00 pm Eastern USA) and the quarterly RC Zoom meeting (held the last Thursday of the quarter at 3:00 pm or 4:00 pm Eastern USA), and any personal transition training by the outgoing Vice President.

Duties per UAI Bylaws

Section 6.7.3. Officers.(Refer to 2.1.3 of the UAI Charter). The officers of the ISB shall constitute the Executive Committee of the ISB. The ISB may by resolution appoint assistant financial officers and/or assistant secretaries, as necessary, but unless the appointee is an elected member of the ISB, he may not vote and may attend meetings only at the request of Executive Committee. Officers shall be responsible for the faithful execution of their duties and are accountable to the ISB, RC, and UAI members therefor.

Section 6.7.3.2. The Vice-President shall assist the President in the discharge of his duties as the President may direct, and shall perform such other duties as from time to time may be assigned to him by the President, the ISB, or the RC. If the President is absent from a meeting, incapacitated, or should the President so request, the Vice-President shall perform the duties of the President and, when so acting, shall have all the powers of and be subject to all the restrictions upon the President.

Additional Duties

Traditionally, the President has delegated responsibility for chairing the ongoing Representative Council electronic meeting to the Vice-President. Leading the RC, keeping decisions moving through this representative group and holding the Quarterly RC Zoom Meetings, are key elements of the role. This responsibility requires administrative attention to detail, and strategic thinking. The ISB Secretary assists in administering this group; however ultimate responsibility sits with the Chair.

The Vice President is also a member of the Board Support Team which handles all non-committee ISB projects. This team meets the first Thursday of every month at 3:00 pm Eastern USA via Zoom.

All ISB members are expected to provide a monthly report of their activities to the ISB, make fundraising phone calls, attend international conferences (as travel funds are available) as a representative of the Central Administration, to attend the yearly face-to-face meeting (if travel funds are available) or participate one day via Zoom, and to participate in all meetings of the ISB, its Board Support Team, and any other special committees the Vice President joins.

Assist in the search for the next Vice President and participate in their 3-month training.

Secretary

They also serve as an information resource for the constituent associations by compiling and sharing information and experience of other associations.

Section 6.7.3.4. Secretary. The Secretary shall:

  • Assist the President with preparation and distribution of agendas for face-to-face meetings of the ISB and the Executive Committee.
  • Assist the President with assembling quarterly reports to the RC of ISB activities, incorporating reports of each ISB member.
  • Cause all notices to be given in accordance with the provisions of these Bylaws or as required by law.
  • Conduct a roll call at the commencement of each meeting of the ISB, Executive Committee, and RC. For regular ongoing meetings, a roll call shall be conducted at the beginning of each calendar quarter.
  • Record minutes of the meetings of the ISB, Executive Committee, and RC in one or more books provided for that purpose. For regular ongoing meetings, minutes shall be prepared at the end of each calendar quarter.
  • Maintain a register of the postal address, telephone number, facsimile number, and email address of each Central Administration member that shall be furnished to the Secretary by each member.
  • Ensure that ISB members and officers are given access to the online Internet meetings for which they are eligible and are removed from access at the end of their terms.
  • Maintain and have general charge of all UAI records and the seal of the association.
  • Record any approved changes to the governing documents of the UAI and provide copies of the amended governing documents to each ISB, RC, and Judicial Commission member. (Refer to Section 14.3.)
  • Perform all duties incident to the office of Secretary and such other duties as from time to time may be assigned to him by the President, the ISB, or the RC.
Additional Duties

The Secretary is also a member of the Board Support Team which handles all non-committee ISB projects. The Secretary is responsible for tracking projects and creating the meeting agenda, compiling the minutes and action points, and completing any assigned projects. This team meets the first Thursday of every month at 3:00 pm Eastern USA via Zoom.

The Secretary is also the Recorder for the RC, assisting the chair with posting of resolutions, voting results, agendas, and record keeping. He/she is also responsible for the RC meeting minutes, and posting the ISB meeting minutes and quarterly reports to the RC Email List. These responsibilities may be delegated to an ISB approved Assistant Secretary.

The Secretary is the person who keeps track of resolutions adopted by the ISB, keeps track of future agenda items, prepares the ISB meeting agenda, the meeting minutes and action points, sends reminders to board members, sets up online board meetings, administers the ISB election nomination process, and functions as the backup Parliamentarian (which requires solid understanding of Robert’s Rules of Order.

All ISB members are expected to provide a monthly report of their activities to the ISB; make fundraising phone calls; attend local conferences, as well as regional and national conferences if travel funds are available, as a representative of the Central Administration; attend the international conference held every three years (as travel funds are available), attend any scheduled face-to-face meetings; participate in all meetings of the ISB, and any other special committees the Secretary joins.

Assist in the search for the next Secretary and participate in their 3-month training.

Communications Chair

Each elected member of the ISB is responsible for supporting and communicating Urantia Association’s strategic direction – its mission, purpose and goals. Success in the role of ISB member relies on active participation in decision making, researching options available, and putting forward ideas and solutions. A solid working knowledge of UAI Charter, Bylaws and Policies is required to ensure the highest integrity of the decisions and actions of the ISB on behalf of Urantia Association.

Qualifications and Skills
  • Full member of Urantia Association in good standing
  • Basic knowledge of CMS websites helpful
  • Some knowledge of basic communications tools used by organizations
  • Familiarity with leading an all volunteer committee helpful
  • Student of The Urantia Book
  • Previous volunteer service and/or leadership service for the revelation
  • Good communication skills both verbal and written
  • Good organizational and computer skills

  • Is able to articulate the goals of the Conference Committee both within and without the committee, articulate the committee’s requests in pursuit of these aims, and maintain a climate that is hospitable and encourages committee member engagement, participation and innovation.

b. Communications Committee shall oversee international publications and community relations as they relate to UAI members, the general community of readers of The Urantia Book, the media, and the public. Activities within the scope of the Communications Committee may include:

  • Compiling information from constituent associations regarding their communications efforts in order to share experiences among associations worldwide.
  • Coordinating with constituent associations regarding public relations matters of mutual interest.
  • Upon request, providing assistance and support for communications efforts by constituent associations
  • In cooperation with other ISB committees, publishing international newsletters and journals, study aids, secondary works, and any other communications or publications, whether in print, digital, electronic, audio, or other media, including the Internet, as they relate to UAI members or other readers of The Urantia Book.
  • Collecting information regarding the history of the organisation and making such information available upon request to constituent associations.
  • Working with the Executive Committee to respond to inquiries involving UAI from the media or the public at large.
  • Developing brochures and other information resources to communicate with the non-Urantia Book reading public.
  • Assisting other ISB committees with their communications needs.
  • Overseeing and coordinating UAI web-based activities and other desired or necessary forms of printed and electronic communication media.
Additional Duties

The Communications Chair also chairs the Website Management Committee, the Public Relations Committee and Social Media Committee. All ISB members are expected to provide a monthly report of their activities to the ISB; make fundraising phone calls; attend local conferences, as well as regional and national conferences if travel funds are available, as a representative of the Central Administration and make presentations as appropriate; attend the Urantia Association international conferences (as travel funds are available); attend the yearly ISB 2 ½ day face-to-face meeting in person or a one day Zoom meeting; participate in all meetings of the ISB.

Study Group Chair

A solid working knowledge of UAI Charter, Bylaws and Policies is required to ensure the highest integrity of the decisions and actions of the ISB on behalf of Urantia Association.

Study groups remain the port of entry for many new students and are the stabilizing reinforcement for experienced students. As Study Group Chair you have the opportunity to play a significant role in implementing the mission of the Association, to foster study of The Urantia Book and to disseminate its teachings and to bringing the vision of 1000s of study groups worldwide into reality.

Each service committee should develop a strategic plan to be included in the UAI strategic plan developed by the Executive Committee for consideration and approval by the ISB and the RC.

g. Study Group Committee shall promote the formation and maintenance of study groups for readers of The Urantia Book worldwide and shall support national and local study group committees by promoting communication and sharing of methods, ideas, and experiences. It shall function as a resource guide to all study groups of The Urantia Book. Local Association study group committees shall have primary responsibility for creating and assisting study groups within their area and shall preserve and respect the autonomy of all study groups. Activities within the scope of this Study Group Committee may include:

  • Compiling information to share with associations and other individuals concerning the creation of new study groups and service to existing study groups.
  • Produce a newsletter or newsletter articles sharing experiences, methods, and ideas about study groups with the study group community worldwide
  • Create and distribute materials to assist individuals desiring to create a new study group or enhance an existing study group.
  • Coordinate opportunities for UAI members to visit local study groups in an effort to offer them support and assistance if required
  • Working with other ISB committees and UAI national and local organizations to develop methods for readers to find existing study groups or other readers wishing to create a study group.
  • Creating and maintaining a directory of study groups around the world. This information shall be shared only among UAI associations and shall not appear in any website or public communication.
Additional Duties

Currently the Study Group Chair is the UAI representative for the administration and policy development team of The Urantia Book Study Group Directory, a work of the entire Urantia Community aimed at connecting students seeking a study group.

In addition, the Study Group Chair does the following:

  • All ISB members are expected to provide a monthly report of their activities to the ISB, make fundraising phone calls, attend international conferences (as travel funds are available) as a representative of the Central Administration, attend the yearly face-to-face meeting in Chicago (if travel funds are available) or by WebEx, and to participate in all meetings of the ISB, and any other special committees the Study Group Chair joins. Attendance at the face-to-face meeting is not mandatory but the camaraderie developed is well worth the time and effort.
  • Participate in Study Group Directory meetings.
  • Recruit members and chair the Study Group Committee.
  • Interface with various associations, volunteers, and groups that support the study group activities of the Association.
  • Work with the Membership and Dissemination Chairs to build a strong foundation of study groups preparatory to forming an Association
  • Lead the Study Group Committee in developing and implementing the immediate and long-range study group goals of the Association.
  • Lead the Study Group Committee in developing a yearly study group strategic plan review and creating a budget.

Dissemination Chair

The Dissemination Chair is first and foremost a member of the International Service Board (ISB) of Urantia Association International. Each elected member of the ISB is responsible for supporting and communicating Urantia Association’s strategic direction – its mission, purpose and goals. Success in the role of ISB member relies on active participation in decision making, researching options available, and putting forward ideas and solutions. A solid working knowledge of UAI Charter, Bylaws and Policies is required to ensure the highest integrity of the decisions and actions of the ISB on behalf of Urantia Association.

This role of Dissemination Chair needs a very strong visionary leader with excellent communications skills, Email, Phone, and personal contact abilities. The mission of the Dissemination Committee is to support worldwide dissemination of the teachings and to assist individuals, study groups and Associations who need books.

  • Student of The Urantia Book
  • Full member of Urantia Association in good standing
  • Multilingual would be an advantage
  • A passion for disseminating the teachings would be helpful
  • Is committed to furthering the Association’s mission to disseminate the teachings and has the time and energy to give the support and guidance necessary for the attainment of this mission
  • Previous volunteer service and/or leadership service for the revelation
  • Administration skills – written communication, strategic thinking, email management, database management (reader referrals)
  • International focus – ability to talk with new readers and connect readers to each other to foster growth and development of study groups, in countries and regions where no association exists
  • Willingness to travel Internationally as a representative of Urantia Association (as funds permit)

d. Dissemination Committee shall coordinate the UAI international efforts to disseminate the teachings of The Urantia Book and to provide information about The Urantia Book and UAI to people who are not familiar therewith. Activities within the scope of the Dissemination Committee may include:

  • Compiling information from associations regarding their dissemination efforts in order to share experiences among associations worldwide.
  • Coordinating with constituent associations regarding dissemination matters of mutual interest.
  • iii. Upon request, providing assistance and support for dissemination efforts by    constituent associations.
  • Working with Communications Committee to develop brochures and information resources to communicate with the public sector that does not read The Urantia Book.
  • Coordinating participation by the UAI in international events sponsored by other organizations.
  • Responding to inquiries received by the UAI from non-readers regarding the UAI or The Urantia Book and, if possible, referring them to constituent associations in their areas.
  • vii. Undertaking international service projects for the purpose of disseminating the          teachings of The Urantia Book and for making The Urantia Books available         throughout the world by, for example, library placement and gift book programs.
  • viii. Working with the Education Committee to devise and develop means to educate       UAI members regarding sensitivities to worldwide religious and cultural issues in        order to enhance understanding and wisdom regarding such issues as they may        affect the UAI goals in carrying the teachings of The Urantia Book to the diverse            peoples of the world in a manner commensurate with individuals’ intellectual and    cultural development.
  • Recommending funding for dissemination programs.
Additional Duties
  • All ISB members are expected to provide a monthly report of their activities to the ISB, make fundraising phone calls, attend local, as well as regional, national and international conferences (as travel funds are available), as a representative of the Central Administration, attend the yearly face-to-face meeting in Chicago (if travel funds are available) or by WebEx, and to participate in all meetings of the ISB, and any other special committees the Dissemination Chair joins. Attendance at the face-to-face meeting is not mandatory but the camaraderie developed is well worth the time and effort.
  • Oversees the Prison Inmate Response Team and Reader Services Team.
  • To create viable, and interesting methods of communicating the precepts in the Urantia Book.
  • Recruit members and chair the Dissemination Committee.
  • Interface with various associations, volunteers, and groups that support the dissemination activities of the Association.
  • Work with the Membership and Study Group Chairs to build a strong foundation of study groups preparatory to forming an Association
  • Lead the Dissemination Committee in developing and implementing the immediate and long-range dissemination goals of the Association.
  • Lead the Dissemination Committee in developing a yearly Dissemination strategic plan review to be included in the Association strategic plan.
